Here are the first (I'm sure many more will now follow) of the Hobbits Hole rules. These are official and binding (though remember to use intelligence when bending them...ok!)

  1. Any proposal requiring a majority decision must be made with at least 60% support in favour (yes votes) of a quorum of 8 or more members.
  2. Proposals should be made in writing 4 weeks (minimum) in advance of a vote, so that proper discussion can be made by members. If the discussions lead to a modification of that proposal, modified proposals must be made in writing no less than 2 weeks before vote. Proposals should be copied to all members and posted on the Hobbits Hole message board as a new topic to ensure that all members can see it and discuss it openly.
  3. Votes to be made in person on the designated Friday night. Proxy votes will be accepted (via E-mail or to the Hobbits Hole message board), 24 hours prior to the vote taking place. Copies of proxy votes must be presented on the voting night by the proposer to be valid.
  4. A Member, at any time, may offer an invitation of Membership to a Non-Member. the Member must provide background details of the Non-Member 1 week prior to their first attendance and make all arrangements and introductions as required.

4a.    Minimum criteria for Trial Membership is age 10+ with an interest in roleplaying.

4b.
    An invitation to an Ex-Member, wishing to return to the club, can only be offered once a successful proposal has been made (see Rule 1.) by an existing Member. Trial period rules then apply as for a Non-Member, although the fee is not waived (see Rule 4c.)

4c.    Non-Members to be subject to Trial Member status, during which time they must attend for four full-weeks within a 12 week period, (during the four weeks attended as a Trial Member the fee is waived unless an Ex-Member). They may on their first or subsequent visit join, at a DM's approval, a game in progress or wait until a suitable opening arises. On the fourth week as a Trial Member, the Trial Member must leave early to ensure a vote may be taken. this vote converts their Trial Member status into Member status after a majority vote in their favour.

  1. Prospective members to be subject to trial membership status, during which time they do not pay any fee and on their first visit may join, at a DM's approval, a game in progress or wait until a suitable opening arises, and they must attend for four full-weeks within a 12-week period before their membership can be converted to full membership status after a majority vote in their favour.
  2. Discussion about future proposals at a club meeting are to be held after 10:00pm, allowing role playing and gaming, not discussion to dominate. Should a discussion need to be held the DM's should be notified of such a discussion at the start of the meeting, allowing them to finish that session at the appropriate time.
  3. A free week is taken once the clubs kitty reaches enough money to cover 6 full weeks of the hall rental and the cost of any club purchases that have been proposed at the time.
